What We're Looking For:
Barge Design Solutions, Inc. is seeking a motivated A&E Project Coordinator to join our team in Nashville, TN.
Project coordination professional providing administrative and project support for Architectural and Engineering (A/E) projects. Coordinates project documentation, communications, contract administration activities, and project records while assisting multiple Project Managers. Demonstrates strong attention to detail and effective document management skills, including formatting, proofreading, and quality review. Supports the timely delivery of accurate and professionally presented project documentation that aligns with company standards.
Responsibilities:
- Coordinate project meetings, agendas, meeting minutes, communications, deadlines, and other administrative activities to support successful project execution.
- Manage document control processes, including filing, scanning, electronic records management, and hard-copy document production.
- Administer quality assurance procedures for project documentation and deliverables, including editorial review, proofreading, formatting, styling, and compliance verification.
- Provide contract administration and procurement support for standard projects.
- Process subcontractor invoices and support vendor payment activities.
- Manage Request for Information (RFI) and submittal workflows, ensuring timely review and distribution.
- Compile and packaging design documents such as specifications and drawings, project reports, closeout documentation, and other project records.
- Support proposal development and fee review processes.
- Enter and maintain project data within accounting software and resource planning activities within eResource/BST.
- Assist Project Manager with developing and updating the project schedule.
- Monitor project performance metrics, including budget hours/cost utilization, goal project multiplier and percent complete.
- Coordinate and maintain project documentation, records, and control logs, including project management plans, risk registers, change logs, action item registers, and quality management documentation.
- Support daily office operations, including meeting coordination, event planning, mail distribution, fleet vehicle coordination, and administrative support for office leadership, where applicable.
Education & Experience Qualifications:
Education & Skills
- High school diploma or GED required; Associate degree preferred.
- 2–4 years of project coordination, project administration, or related experience.
- Moderate proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and SharePoint.
- Moderate proficiency in Adobe Acrobat skills; Bluebeam experience preferred.
- Experience with project management software and tools preferred, including BST, Autodesk Construction Cloud (ACC), SpecLink, SpecsIntact, and Bentley ProjectWise.
- Working knowledge of construction and engineering processes, terminology, and project delivery methods.
- Strong analytical, organizational, and problem-solving skills.
- Excellent verbal and written communication skills with the ability to interact effectively with clients, project teams, and stakeholders.
- Demonstrated ability to manage multiple priorities and projects with an elevated level of efficiency in a fast-paced environment.
- Proven ability to work independently while contributing effectively within a collaborative team environment.
- Working knowledge of A/E project documentation, deliverables, and document control practices, including specification packages, front-end contract documents, basis of design reports (BOD), preliminary engineering reports (PER), addenda, bulletins, drawing revisions, construction administration documentation, and quality review processes.
